How to Start Scaling and Systematizing Your Business

This question concerns every business owner who wants to take their company to the next level. I’ve written a book, dozens of articles, and recorded hours of training materials, exploring it from different angles.

To put it simply, it all starts with business processes. Every company has key functions:

  1. Management — This is where business development ideas are born, strategies are formed, and the growth direction is defined. This is the owner’s responsibility: what products to create, how to promote them, and where to go.
  2. HR — Hiring and onboarding employees. Without a properly established hiring system, it is impossible to build a strong team.
  3. Marketing and Advertising — Promoting the product or service, generating demand, working with customer acquisition.
  4. Product or Service Delivery and Improvement — This is the key function that influences customer satisfaction and the company’s reputation.
  5. PR and Media Development — Shaping the company’s image, working with the public, and positioning in the market.

Why Scaling Often Turns into Chaos

A common mistake by owners is acting without a systematic approach. For example, if the goal is to increase revenue, it’s logical to strengthen the sales department. The company urgently starts looking for new employees, but faces problems: high turnover, complicated onboarding, and poor results.

Instead of figuring out the root cause, owners start plugging the gaps: trying to train new hires faster, overloading managers with work, increasing spending on customer acquisition. In the end, chaos and frustration follow.

Let me give you a real-life example. An entrepreneur approached me with the task of doubling the company within a year. He already had 20 sales managers and planned to hire another 20. When I asked how many HR specialists he had, it turned out to be just one, and part-time at that.

To hire 20 strong salespeople, at least 60 candidates must go through probation. This means HR needs to conduct 200 interviews, requiring 600 applications. One person physically cannot handle this volume of work.

The problem is not that it’s hard to find good salespeople, but that the company is not prepared for such growth. If we start with organizing the HR department’s workflow, the task becomes achievable. However, if scaling is attempted without a system, the business will face uncontrollable chaos.

Most problems when scaling arise because the owner lacks a clear vision of how the company should be organized. The solution is to build a business operational system that provides clear understanding of what functions need to exist, how they interact, and how revenue can be predictably increased.

When work is organized systematically:

  • Every employee understands their tasks and doesn’t waste time on chaos.

  • The business is not dependent on the owner to solve operational issues.

  • Team expansion happens according to a clear model, not through emergency processes.

  • The company is ready for growth because all key business functions are in place.
